There are many traits that a successful property manager needs. One of them is being organized. Organization can help ensure your finances are handled correctly, maintenance issues are dealt with, and you manage your time adequately. There are so many ways that being well organized can benefit your life and real estate investment. But if it’s not something that comes naturally to you, there are ways to make improvements.
1) Write things down. One of the things to start doing is keeping a calendar and a to-do list. Write down what needs to get done each day. Set reminders for the priority items. You can use your mobile device or computer to do this with ease. A physical calendar can work as well, or even a small pocket-size one. It’s harder to miss something that needs to be accomplished if you have a constant reminder of what comes next.
2) Don’t put things off. When you procrastinate, it’s easier to let things slip by. Get better organized by handling things as soon as possible. Remember to prioritize the most important items first.
3) Start a filing system, either digital or physical. Make sure that you have a place to store all of your important documents. Don’t ever procrastinate in filing items either. Do it right away so you don’t end up with a pile.
4) Keep everything in its place. Designate specific places for items that tend to get lost. We’ve all lost our keys or phone at some point. Make sure these important items have a place that you put them daily. That way you can get out the door quicker and aren’t late for anything important.
5) Take notes. If something comes up that you need to do, make a note of it instead of trying to remember it later. When a tenant is sharing something important with you such as a maintenance issue, be sure to jot it down so it doesn’t slip your mind. It’s a good idea to always have a notepad on you unless you’re going to take notes on your mobile device. If you check your email frequently, you could simply email yourself notes for later.
6) Use delegation to your advantage. There are plenty of responsibilities that can be handed off to someone else. For example, you could hire a property management company to handle the majority of your property management duties. If you’d like to learn more about this, please reach out to us at PMI.
